Job Overview:
The Agency Support is a key leadership position responsible for overseeing the operations of a shipping agency, including the management of multiple branches, ensuring profitability, and effectively handling the Estimate Port Disbursement Account (EPDA) .
This role requires a blend of operational expertise, financial management, and leadership skills to ensure the agency runs efficiently, complies with relevant regulations, and meets financial targets.
The Agency Support will ensure optimal performance by managing the agency’s finances, overseeing the disbursement of port -related costs, and driving growth across various locations.
This individual will also lead teams, foster client relationships, and ensure the agency's reputation for excellence in service delivery.
Key Tasks & Responsibilities:
1. Operational Oversight:

- Manage day -to-day operations of the shipping agency across multiple branches, ensuring timely and efficient delivery of services.
- Supervise and coordinate with branch managers to streamline workflows, resolve operational issues, and improve overall service delivery.
- Oversee the coordination of shipments and ensure adherence to shipping schedules, regulatory compliance, and customer satisfaction.
2. Financial and EPDA Management:

- Oversee the management and reconciliation of the Estimate Port Disbursement Account (EPDA), ensuring accurate estimation, disbursement, and timely payments of port-related costs (e.g., port fees, terminal handling charges, and other associated costs).
- Ensure the EPDA is managed effectively to avoid discrepancies and maintain transparency in disbursements.
- Regularly review and update EPDA estimates, ensuring they are aligned with current market conditions and actual port charges.
- Develop, implement, and monitor financial strategies to maximize profitability while minimizing operational costs.
3. Profitability and Financial Performance:

- Lead the preparation of budgets, forecasts, and financial performance reports to assess the agency’s financial health.
- Identify areas for cost reduction, process improvements, and revenue growth while maintaining high service standards.
- Ensure the agency meets profit targets, proactively managing cash flow, credit risk, and operational expenses.
4. Team Leadership and Development:

- Lead and mentor branch managers and operational teams, ensuring clear communication, collaboration, and performance excellence.
- Conduct regular staff performance evaluations, provide training, and implement strategies for professional development.
- Foster a positive work culture focused on teamwork, accountability, and operational efficiency.
5. Client and Stakeholder Relations:

- Build and maintain strong relationships with clients, vendors, port authorities, and other stakeholders, ensuring effective communication and service delivery.
- Address any customer complaints or concerns regarding shipping operations and work to resolve issues promptly.
- Serve as the primary point of contact for key clients, ensuring their needs are met and expectations are exceeded.
6. Regulatory Compliance and Risk Management:

- Ensure compliance with local, national, and international regulations regarding shipping, import/export, and port operations.
- Monitor regulatory changes and industry trends, ensuring the agency adapts to maintain compliance and mitigate potential risks.
7. Strategic Planning and Growth:

- Contribute to the development of long -term business strategies aimed at expanding the agency’s market share, improving operational efficiency, and enhancing service offerings.
- Identify new business opportunities, potential partnerships, and ways to grow the agency’s presence in existing and new markets.
Qualification & Skills:
1. Education:
-
- Bachelor’s degree in Business Administration, Logistics, Shipping Management, or a related field (Master’s degree is a plus).
2. Experience:
-
- Minimum of 8 years of experience in the shipping industry, with at least 3 years in a senior management or leadership role.
- In-depth experience in managing Estimate Port Disbursement Accounts (EPDA) , including estimation, disbursement, and reconciliation processes.
- Proven ability to oversee multi-location operations and manage the financial aspects of shipping agency operations.
- Demonstrated experience in P&L management, cost control, and implementing revenue-enhancing strategies.

- Strong financial and accounting skills, particularly related to port charges, shipping fees, and EPDA management.
- Excellent leadership and interpersonal skills, with the ability to manage teams, build relationships, and influence stakeholders at all levels.

- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and shipping/financial management software (e.g., TMS, ERP systems).
- Strong analytical and problem -solving skills with the ability to assess operational performance and implement improvements.
